The International Organization for Standardization (ISO) is a worldwide federation of national standards bodies from some 100 countries, one from each country. ISO is a non-governmental organization established in 1947. "The mission of ISO is to promote the development of standardization and related activities in the world with a view to facilitating the international exchange of goods and services, and to developing cooperation in the spheres of intellectual, scientific, technological and economic activity." ISO’s work results in international agreements which are published as International Standards."

ISO 9000 certification means that your company has achieved international recognition for its emphasis on quality and insures that every member of your company is part of the quality assurance system. ISO certification essentially guarantees that your business says what it does, does what it says and has the documentation in place to prove it. Total quality management systems involve everyone. The ISO could be your organization’s key to quality improvement and global competitiveness.

ISO 9000 REGISTRAR SELECTION ASSISTANCE

Choosing a registrar right for you and your organization can be a confusing matter. A registrar is an approved accrediting organization. The registrar you choose should be recognized within the countries that you do business. You will need one that is reputable, securely established, experienced and financially stable.

Your company and the registrar will essentially undertake a long-term relationship and you want to make certain the registrar you choose is one with whom you, your management and staff can work. Changing registrar’s mid-stream or after registration can be costly, time consuming and frustrating.

Verion Staffing understands the necessity of "doing it right the first time" and is available to assist you with your registrar selection. Training or consulting will be customized to accommodate the client’s specific requirements.

ISO 9000 MILESTONE PLANNING

Whether you are in the beginning stage and doing research or are well into the pursuit of certification, Verion Staffing’s training and consulting services offer the versatility to assist you in any phase of your pursuit of ISO 9000.

In addition to focusing on your core business, the ISO 9000 registration process also requires organization and planning. Five major milestones are involved in the registration process:

  1. Management Commitment and Involvement
  2. Selecting Your Registrar
  3. Quality Documentation Review and Implementation
  4. Internal Audits, Assessments, Corrective Action and Full Audit
  5. Final Registration Approval and Maintenance

To ease the burden of creating a plan of action, Verion Staffing’s consultants are available to lend their expertise. Training or consulting will be customized to accommodate the client’s specific requirements.

ISO 9000 QUALITY DOCUMENTATION REVIEW AND IMPLEMENTATION

This area can be one of the most far-reaching changes your company will be required to make. Basically, the documentation is your written assessment of how you do what you say you do. It’s your written assessment of how your company guarantees that your clients are getting what they request. Each person involved in the quality of your product or service should be included in the process of documentation.

Documentation required for ISO 9000 registration usually contain three parts: (1) a quality manual, (2) the documentation of procedures and job functions, and (3) the documentation of your results and follow-up. These functions are critical elements of the ISO registration process.

Quality Manual
Your company’s quality manual is the most important document you develop. It states the requirements to which your company’s management have committed its organization to work toward. The quality manual contains the policies that distinctly state how your company will track what you want to achieve with the ISO registration.

The manual will include a table of contents and an organization chart and will specify where in the quality system you need to go in order to get the information you desire. The size will be approximately 20-40 pages and will summarize the company’s whole quality system into one document. It should be concise, inclusive and easy to understand. When you acquire ISO registration, your manual will require a revision history page every time a change is made to your system. Everything is documented.

Procedures and Job Functions
One more step in the documentation process is necessary. You are required to document how your company carries out its quality systems for every procedure within the organization. This step can be overwhelming for companies who lack written descriptions; however, many companies have this documentation in place and only minor modifications may be required.

Each job function is explained with a step-by-step explanation. During internal and registration audits, employees will be checked for two things: (1) they understand the procedure document, and (2) that they follow the procedures.

Results and Follow-up Documentation
The final piece of your documentation will be the results and follow-up documentation. The documentation will state what should happen in your manufacturing process, a procedure, a job function, or in your company’s service, as well as what did happen. All documentation that affects your quality assurance system will be reviewed during both the internal audits as well as during the registration full audit review.

Verion Staffing has achieved ISO 9001 registration, has an ISO 9000 Lead Assessor/Auditor on staff, understands the importance of these elements, and provides consulting and training services to assist you with any phase of the registration preparation process. Training or consulting will be customized to accommodate the client’s specific requirements.

ISO 9000 TRAINING DOCUMENTATION

Yet another step in the documentation process is to address training. Training documentation, which includes training background and education, is required for each employee. Training documentation is required for every job function. This includes your company’s chief executive as well as the hourly workers.   You can develop elaborate training documentation or as simple as a listing of acquired skills with a date and signature beside each item. Training records must be easily accessible to the human resources department as well as any others who may require them.

Verion Staffing can help you decide how detailed your training documentation needs to be to be compliant with the ISO 9000 requirements. Training or consulting will be customized to accommodate the client’s specific requirements.

ISO 9000 INTERNAL AUDITS, ASSESSMENTS
AND CORRECTIVE ACTION

Internal audits and assessments are measurement tools that tell you how well your company does what it says it does. Audits and assessments gauge how well you "walk the talk." Where there is a discrepancy between the two, a corrective action is initiated to get you back on track.

Internal audits can be looked upon as company-wide "house cleaning" sessions. You will likely find old policies, procedures, manuals and other documentation that no one uses, understands or that may be obsolete. Oftentimes training records are nonexistent, or so incomplete or obsolete that they are of no use to the human resources department.

ISO 9000 requires companies to conduct extensive internal audits and assessments. Company-trained employees who audit areas other than the ones in which they work perform the internal audits. Oftentimes, employees only focus on the one area in which they are responsible; therefore, internal audits and assessments are excellent ways for employees to become familiar with the "big picture."

All employees should be familiar with the ISO standards, your quality system, and the procedures developed for quality assurance. Familiarization of these systems will greatly contribute to your company’s success in attaining the ISO 9000 registration.

Many of the companies that fail certification on their first attempt are negligent in performing adequate internal audits prior to their final audit. Verion Staffing is available to help guide you through this important step in the ISO 9000 registration preparation. Training or consulting will be customized to accommodate the client’s specific requirements.

ISO 9000 INTERNAL AUDITOR TRAINING

Many of the companies that fail certification on their first attempt are negligent in performing adequate internal audits prior to their final audit. Internal audits are critical to achieving ISO 9000 registration. Internal audits are measurement tools that tell you how well your company does what it says it does. Audits and assessments gauge how well you "walk the talk."

Employees who are selected to perform your internal audits need a thorough understanding of the who, what, how, where and why’s of conducting the audits. Internal auditors need to be prepared and well versed on their responsibilities.

Topics
  • ISO 9000 Awareness
  • Demonstrate how your internal documentation addresses the 20 Clauses
  • Auditing techniques
  • Role playing
  • Develop audit questions

Internal auditor classes can be conducted at our Richardson, Texas office, our Austin, Texas office or at your facility. These courses are customized to each client’s exact needs and require approximately three days of classroom training. Verion Staffing’s Lead Assessor/Auditor is available to accompany the trainees on site to facilitate the audits, ensure the audit findings are documented, and help prepare and submit the required management reports. Training or consulting will be customized to accommodate the client’s specific requirements.
